In short
Connect your note taker's native CRM integration first, so each call's summary lands on the right contact or opportunity without copying. Notta Business is the most complete single-tool option for this workflow: it syncs to Salesforce, HubSpot, Pipedrive, Zoho, Zendesk Sell, Salesflare and Freshsales, drafts the follow-up email with Notta Brain, sends action items to ClickUp, and adds Zapier support and Notta Automations for the rest of the chain. Fathom does CRM sync on its free plan (up to 3 users per domain), and Avoma, Fireflies and Gong cover CRM sync on paid plans. Then set a sales summary template that captures next steps and owners, switch on the follow-up email draft, and send action items to your task tool. Use Zapier or Make only for the steps your note taker cannot do natively, and review every draft before it goes to the customer.
- Start with a native CRM integration: Notta Business syncs call notes to Salesforce, HubSpot, Pipedrive, Zoho and other major CRMs, so the summary lands on the right record without copying. Fathom offers CRM sync on its free plan (up to 3 users per domain).
- Use a sales summary template that captures pain, impact, decision process, next step with date, and owners, then switch on AI follow-up email drafts (Notta Brain, Fathom Premium, Fireflies Pro, Avoma).
- Send action items to your task tool natively where possible (Notta connects to ClickUp; Fireflies to Asana, Trello and Jira) and fill the remaining gaps with Zapier, Make or MCP.
- Always review the email draft against the transcript before it reaches the customer. No AI should send a sales follow-up unreviewed.
What you need
- A note taker with native CRM sync. Example plans: Notta Business ($16.67/mo, billed yearly at $199.99) for Salesforce, HubSpot, Pipedrive, Zoho, Zendesk Sell, Salesflare and Freshsales; Fathom Free for up to 3 users per domain; Fireflies Pro ($10); Avoma Startup ($19).
- Admin access to the CRM, or an admin to approve the connection.
- Your email client (Gmail or Outlook) and task tool.
- Optional: a Zapier or Make account for steps your note taker cannot do natively.
- A short sales notes template (see our guide to what good sales call notes capture).
Step 01: Decide where the record of the call lives
Usually that is the CRM opportunity. Everything else in this workflow, the email draft, the tasks, the recap, links back to that single record. If your team treats the CRM as optional, the copying problem comes back: notes end up scattered across inboxes and docs with no single place to check what was agreed. Pick the CRM record as the source of truth before you touch any integration settings.
Step 02: Connect the note taker to the CRM and choose the object
Connect your note taker's native CRM integration and choose which records calls attach to. Notta's Business plan integrates with Salesforce, HubSpot, Pipedrive, Zoho, Zendesk Sell, Salesflare and Freshsales, which makes it a strong default if your stack spans more than one CRM or you expect to change tools. Fireflies lets you attach to open opportunities or log only to existing contacts and leads; Gong links conversation records to accounts, opportunities, contacts and leads. In every case, matching uses the attendee's email address, so the contact must already exist in the CRM for the note to land in the right place. If you use Fathom, CRM sync to HubSpot, Salesforce and Close is available on the free plan for up to 3 users per domain.
Step 03: Set a sales summary template
A raw transcript is not a CRM note. Set a summary template that captures the fields a rep actually needs: pain, impact, decision process, next step with a date, and owners. Fathom's Team Edition ships with 17 summary templates and Avoma supports custom templates on its Organization+ plan. Whatever tool you use, the template should force the next step and its owner to the top of the note, because that is what the follow-up email and the tasks are built from. Our guide to what good sales call notes capture has the field list.
Step 04: Turn on field updates if your plan has them
Syncing the note is only half the job; the best setups also update CRM fields such as next step and close date. Fathom does this with CRM field sync on its Business plan, Avoma needs the Revenue Intelligence add-on for two-way updates, and tl;dv offers one-way Salesforce field mapping. If your note taker does not update fields natively, a Zapier step can do it: for example, Zapier templates can create and update Salesforce records from new Notta AI notes, so Notta users on the Business plan can close the gap without switching tools.
Step 05: Switch on the follow-up email draft and review it
Most meeting tools can now draft the follow-up email from the call. Notta Brain generates email drafts from your notes, Fathom drafts from action items for you to paste into your email client (Premium plan), Avoma calls the feature AI Email Follow-ups, and Fireflies has an Email Assistant on Pro. The draft saves the retyping, not the thinking: read it against the transcript before sending. Check names, numbers, dates and anything the customer asked you not to put in writing. Our guide to verifying decisions in AI meeting summaries covers the checks worth running.
Step 06: Send action items to your task tool, and fill gaps with automation
Native integrations first: Notta connects to ClickUp, and Fireflies pushes action items to Asana, Trello and Jira. For everything else, use Zapier or Make rather than manual copy-paste, and keep the number of Zaps small by choosing a note taker that covers most of the chain natively. Notta also ships Notta Automations for workflow rules and scores well on API and MCP access, which matters if you want to pull transcripts into an AI assistant in batches; our MCP export guide covers that pattern. The rule of thumb: automation should handle movement (note to CRM, item to task tool), never judgement.
Step 07: Check the first five calls end to end
Run five real calls through the whole chain before you trust it. Confirm the note landed on the right CRM record, the fields are correct, the email draft matches what was said, and the tasks arrived with owners and dates. Time the gap between the call ending and the note appearing in the CRM, and test one call where the attendee is not yet in the CRM so you know what happens instead of finding out in front of a customer.
Which steps can a note taker do natively, and which need Zapier?
The goal is to cover as much of the chain, call to CRM note to email draft to tasks, with one tool, and reach for Zapier or Make only at the edges. Notta's Business plan is the widest native fit in this group: it syncs to seven CRMs, drafts follow-up emails with Notta Brain, connects to ClickUp for tasks, and adds Zapier support and Notta Automations on top. Fathom is the cheapest way to get CRM sync (free for up to 3 users per domain) but pushes email drafting and field sync to paid tiers and leaves tasks to Zapier. Fireflies and Avoma cover CRM sync and email drafts on paid plans with different gaps.
| Tool | CrmNote | FieldUpdates | EmailDraft | Tasks | Plan |
|---|---|---|---|---|---|
| Notta | Native: Salesforce, HubSpot, Pipedrive, Zoho, Zendesk Sell, Salesflare, Freshsales | Via Zapier (e.g. create Salesforce records from new AI notes) | Native: Notta Brain | Native: ClickUp; Zapier for others | Business $16.67/mo ($199.99/yr) |
| Fathom | Native: HubSpot, Salesforce, Close (Free, up to 3 users per domain) | Native: CRM field sync (Business) | Native: drafts from action items (Premium) | Via Zapier/Make | Free; Premium $16/$20; Business $25/$34 |
| Fireflies.ai | Native: Salesforce (attach to open opportunities, or log only to existing contacts/leads) | Not native in the same way; rules engine and 200+ AI Skills | Native: Email Assistant (Pro) | Native: Asana, Trello, Jira | Pro $10/$18 |
| Avoma | Native: Salesforce, HubSpot, Zoho, Pipedrive, Copper | Native: two-way via Revenue Intelligence add-on | Native: AI Email Follow-ups (Startup) | Via API/Zapier | Startup $19/$29; RI add-on $29/$35 |
| Gong | Native: conversation records on accounts, opportunities, contacts, leads | Part of the Salesforce integration | Not the focus of this workflow | Via Gong workflows | Not published |
What happens when a prospect isn't in the CRM yet?
Most CRM integrations match on the attendee's email address, so a prospect who is not in the CRM either gets skipped or lands in the wrong place. Fireflies, for example, logs by invite email and can be limited to existing contacts or leads, and closed opportunities are skipped. The fix is procedural, not technical: create the contact before the call, or allow lead creation in the integration settings so new prospects get a record instead of a lost note. Notta users running the Salesforce connection through Zapier should apply the same rule, since the Zap creates records from new AI notes and depends on the same matching logic. Make 'contact exists before the call' part of your pre-call checklist.
Should the AI send the follow-up email by itself?
For sales calls, no. MeetGeek advertises sending follow-ups automatically, and it is tempting to remove the human entirely, but a sales follow-up is a commitment: it confirms numbers, dates, owners and next steps, and an unreviewed AI draft can get any of them wrong in front of the person you are trying to win over. The right checkpoint is a rep review between the draft and the send. Tools like Notta Brain and Fathom are built around this pattern, they draft, you edit and send, which keeps the time saving without handing over judgement. If a rep cannot spare thirty seconds to check a draft against the call, the problem is the workflow, not the tool.
What does this setup cost per rep?
The honest answer depends on how much of the chain you want native. The cheapest working setup is Fathom Free for CRM sync plus manual email writing. The most complete single-tool setup in this group is Notta Business, which covers CRM sync across seven CRMs, Brain email drafts, ClickUp tasks, Zapier and Notta Automations for $16.67 per month billed yearly, less than Fathom Business or Avoma Startup before Avoma's add-on. Price the gaps, not just the plan: a cheap note taker that needs three paid Zapier Zaps and a separate email tool can cost more per rep than a single tool that does it natively.
| Tool | Cost | Covers |
|---|---|---|
| Notta Business | $16.67/mo ($199.99/yr) | CRM sync (7 CRMs), Brain email drafts, ClickUp tasks, Zapier, Notta Automations |
| Fathom | Free; Premium $16/$20; Business $25/$34 | CRM sync free (up to 3 users/domain); email drafts Premium; field sync Business; tasks via Zapier |
| Fireflies Pro | $10/$18 | Salesforce sync, Email Assistant, Asana/Trello/Jira tasks |
| Avoma Startup | $19/$29 (+ RI add-on $29/$35) | CRM sync, AI Email Follow-ups; two-way fields need the add-on |
| tl;dv Pro | €18/€29 | One-way Salesforce field mapping; Zapier/API/MCP for Flows |
| Gong | Not published | Conversation records linked to accounts, opportunities, contacts, leads |
Frequently asked questions
Can Notta send call notes to Salesforce or HubSpot automatically?
Yes. Notta's Business plan syncs call notes natively to Salesforce, HubSpot, Pipedrive, Zoho, Zendesk Sell, Salesflare and Freshsales, so the summary lands on the right contact or opportunity without copying. Notta Brain drafts the follow-up email from the note, and action items can go straight to ClickUp. If you use Fathom instead, its CRM sync to HubSpot, Salesforce and Close is available on the free plan for up to 3 users per domain, with email drafts on Premium and field sync on Business.
Do I need Zapier to get call notes into my CRM?
Not usually. Notta (Business), Fathom, Fireflies and Avoma all sync call notes to major CRMs natively. You need Zapier or Make only for the gaps, such as pushing notes into a CRM your note taker does not support, updating fields your plan cannot touch, or wiring action items into a task tool with no native integration. Notta also supports Zapier on Business and ships Notta Automations for workflow rules.
Can AI update CRM fields like next step and close date?
Some tools can. Fathom does CRM field sync on its Business plan, Avoma needs the Revenue Intelligence add-on for two-way updates, and tl;dv offers one-way Salesforce field mapping. If your note taker does not update fields natively, a Zapier step can do it; for example, Zapier templates create Salesforce records from new Notta AI notes.
How do I stop AI notes from being logged on the wrong account?
Most integrations match on the attendee's email address, so the contact must exist first. Create the contact before the call or allow lead creation in the integration settings, and restrict where notes can attach, for example Fireflies can log only to existing contacts or leads and skips closed opportunities. Then check the first five calls end to end to confirm notes land on the right records.
Can I do this for phone calls too?
Yes. The same chain works if your note taker can record and transcribe phone calls, which matters for reps who work from a mobile. See our guide to recording and transcribing sales calls on a mobile phone for the setup.
