In short
Use a transcription app that runs the speech-recognition model on your own computer. Notta Desktop's Privacy Mode (Mac and Windows, from $97.99 a year on the Pro plan) records and transcribes meetings on the device and keeps the files in a local folder you choose, making it the most complete option for consultants who work across platforms. MacWhisper is a capable free alternative on the Mac. Download the speech model while you are online, record the call's system audio and your microphone in the app, and keep everything in an encrypted local folder. Expect to give up cloud AI summaries, team sharing and sync — and remember that most bot-free note takers, and AI voice recorders such as Plaud and Notta Memo, still transcribe in the cloud.
- The speech-recognition model has to run on your computer, not just the recorder — that is what "without uploading" actually requires, and Notta Desktop's Privacy Mode does exactly that.
- Notta Desktop's Privacy Mode (Mac and Windows, from $97.99/yr on Pro) records and transcribes on the device; MacWhisper is a free Mac alternative.
- Download the model while online, record system audio plus your microphone, and keep the files in an encrypted local folder.
- You give up cloud summaries, sharing and sync — and bot-free tools like Granola, plus recorders like Plaud and Notta Memo, still transcribe in the cloud.
What you need
- A Mac or Windows PC that meets the model's needs — Notta lists 4 GB RAM, 1 GB storage and 2 CPU cores for its offline model.
- The transcription app, plus a paid plan where required: Notta Privacy Mode needs the Pro plan ($8.17/month, billed annually at $97.99) or above; MacWhisper's core features are free.
- An encrypted local folder for recordings and transcripts — FileVault on Mac, BitLocker on Windows.
- Written client consent to record the meeting.
Step 01: Check what must stay local
Read the engagement letter or NDA before you set anything up. Does the client require the audio to stay on your machine, or the transcript and summary too? Some contracts only restrict the raw recording; others treat the transcript — and anything an AI summariser derives from it — as confidential client material. The answer decides whether cloud summaries are acceptable later, and therefore how much of this workflow you need. If the wording is ambiguous, ask. It is a much shorter conversation than a data incident.
Step 02: Choose a local engine for your computer
Pick a tool that runs the speech model on your machine. Notta Desktop's Privacy Mode is the strongest starting point for consultants because it works on both Mac and Windows and handles the whole job — recording the meeting and transcribing it — with everything kept in a local folder you choose. On a Mac, MacWhisper is a solid free alternative that records Zoom, Teams and Webex calls and system audio, with a one-off Pro licence if you need more. On Windows, Buzz (free, open source) transcribes audio files offline, though it does not record live meetings. Krisp lists on-device transcription for Enterprise plans, but this is unverified — check with their sales team before relying on it.
Step 03: Install the model and set a local folder while online
Do this before the client call, not during it. Notta needs an internet connection for sign-in, the model download and a licence check roughly once a month; after validation, Privacy Mode works offline for at least a month. The offline model needs about 1 GB of storage and 4 GB of RAM. Point the app at an encrypted local folder (FileVault on Mac, BitLocker on Windows) so recordings and transcripts never sit in a synced cloud drive by accident. In Notta, Privacy Mode applies to the whole app: cloud summaries, sync and sharing are paused, records stay in your chosen folder, and exiting the mode later does not upload the recordings you made inside it.
Step 04: Tell participants, then record system audio and microphone
Get consent on the record — a quick verbal note at the start of the call is enough in most cases, but follow your client's policy. Then record the call's system audio (the client's voice) and your microphone together in the app. For in-person meetings, record on the laptop, or use an offline voice recorder and copy the file to your computer by cable — not through the recorder's own cloud app, which typically uploads everything on sync. Notta Privacy Mode captures both online calls and in-room audio on the device; MacWhisper records calls on the Mac.
Step 05: Transcribe on the device and spot-check the transcript
Run the transcription with the model on your computer. If you want extra assurance, turn Wi-Fi off first: a genuinely local engine will keep working, and Notta's offline model is built for exactly this. Then read the transcript before you use it. Local models can be good on clear audio, but they still mis-hear, and research on Whisper-family models (the Careless Whisper study) found that about 1% of transcriptions contained invented phrases, often clustered around pauses. Check names, numbers and anything you plan to quote back to the client.
Step 06: Summarise locally or by hand, export the deliverable, delete the audio
Cloud AI summaries are paused while you work locally, so either summarise with a local language model (MacWhisper can switch to local models) or write the summary yourself — for most consulting deliverables, a hand-written synthesis of a checked transcript is the safer route anyway. Export only what the client needs — the summary, the minutes, the agreed transcript — and keep the raw audio out of the deliverable. Then delete the audio on the schedule you agreed with the client, and say so in your wrap-up. A stated retention policy is itself a selling point for confidentiality-minded clients.
What does "without uploading audio" actually require?
The speech-recognition model has to run on your computer — not just the recorder. A lot of tools market themselves as private because nothing joins your meeting, but a bot-free recorder that sends audio to a cloud server for transcription has not kept the meeting local; it has only changed where the upload happens. Notta's Privacy Mode documentation is explicit about the distinction: in Privacy Mode, "data is not uploaded to the cloud" — the model runs on your machine and the recordings stay in a folder you choose. That is the standard to hold every tool to. If you want the full background on the three architectures — built-in meeting summaries, cloud note takers and local transcription — see our guide to built-in vs cloud vs local meeting transcription. This page stays on the consultant's workflow: what to install, what to record, and what to check.
Which tools transcribe meetings on the device?
Only a handful of tools genuinely record and transcribe a live meeting on your computer. Notta Desktop's Privacy Mode is the most complete option for consultants: it works on both Mac and Windows, records online calls and in-person audio, transcribes on the device with unlimited local transcription on paid plans, and pauses cloud summaries, sync and sharing while it is on. It offers two engines — an offline model covering English, Japanese, Simplified Chinese and Cantonese, and Apple's Speech Analyzer engine (11 languages) on macOS 26 and later. MacWhisper is the best free option on the Mac, running local Whisper and Parakeet models and recording Zoom, Teams and Webex calls; its Pro licence (€64 one-off) adds more. Buzz is a free, open-source Whisper app for Windows, Mac and Linux that transcribes files offline — useful for recordings made elsewhere, but it does not capture live meetings. Krisp's feature matrix lists on-device transcription on Enterprise plans, but this is unverified, so confirm before committing.
| Tool | Platforms | Live meeting recording | On-device transcription | Price |

Are bot-free note takers and AI voice recorders local?
Usually not. Bot-free note takers avoid the visible meeting participant, which clients often prefer, but most still send audio to a cloud server for transcription. Granola is the clearest example: it transcribes in real time in the cloud and keeps no audio afterwards — a genuine privacy improvement, but not on-device transcription, and worth knowing before you tell a client nothing leaves your machine. AI voice recorders such as Plaud's Note Pro and Notta's own Memo can record while offline, but transcription and AI features happen after the device syncs to the cloud. Neither is a fit for a contract that requires the audio to stay local. If your concern is simply avoiding a bot rather than avoiding the cloud, our guide to transcribing sensitive meetings without a bot covers those options.
Can you get an AI summary without the cloud?
Only with a local language model, or by writing it yourself. Notta's cloud AI summaries are paused while Privacy Mode is on — that is the trade-off you accept for keeping everything on the device. MacWhisper can generate summaries, and its Pro version can switch to local models so the text never leaves your Mac, though local summarisation quality depends on your hardware. If you want to understand what that takes, see our guides on how much RAM you need for a local LLM and what an NPU is. For most consulting deliverables, the pragmatic route is a hand-written summary of a transcript you have already checked — you control the emphasis, and there is no model to trust.
How do you record an in-person client workshop locally?
Record on your laptop's microphone, or use an offline recorder and transfer by cable. For a workshop or in-person interview, open Notta Privacy Mode on the laptop and let it capture the room — the recording and transcript both stay on the device. If the room is large or the laptop would be intrusive, a dedicated voice recorder is more discreet, but check where it processes: many popular AI recorders, including Plaud's, transcribe only after syncing to the cloud. Copy files from the recorder to your computer by cable, not through the recorder's app, then transcribe locally with Notta, MacWhisper or Buzz. Our roundup of the best AI voice recorders has more options, with the cloud caveat noted.
How accurate is local transcription compared with cloud?
Local models can be good on clear audio, but they still mis-hear, and they can invent text in pauses. The Careless Whisper study (Koenecke et al., ACM FAccT 2024) found that roughly 1% of Whisper transcriptions contained hallucinated phrases, often clustered around silence — adding invented content to a confidential client transcript is a different kind of risk from a cloud provider seeing it. Cloud services generally hold an edge on accented speech, crosstalk and noisy rooms; local engines close the gap on clean, well-mic'd audio. Whichever you use, spot-check the transcript before it becomes a deliverable: names, numbers, commitments and anything you plan to quote. For most consulting work, a checked local transcript beats an unchecked cloud one.
What still needs the client's consent?
Recording itself. On-device transcription removes the third-party cloud from the picture, but it does not remove the legal and professional obligation to tell people they are being recorded — and for a consultant, the reputational obligation is at least as strict. Get consent in writing where the NDA requires it, and state it verbally at the start of the call otherwise. It is also worth telling the client what happens to the recording afterwards: where it is stored, that it is encrypted, and when it will be deleted. Our guide to recording consent laws covers the legal requirements in more detail.
Frequently asked questions
Does Notta Privacy Mode work offline?
Yes, after setup. Notta needs an internet connection for sign-in, the model download and a licence check about once a month, but after licence validation Privacy Mode works offline for at least a month. In Privacy Mode, data is not uploaded to the cloud, recordings stay in the local folder you choose, and exiting the mode does not upload recordings made inside it. It requires the Pro plan ($8.17/month, billed annually at $97.99) or above.
Is Granola an on-device transcription app?
No. Granola is bot-free — nothing joins your meeting — and it keeps no audio after processing, but it transcribes in real time in the cloud. That is a privacy improvement over tools that store your audio, but it does not satisfy a contract that requires the audio to stay on your machine.
Can I transcribe audio locally on Windows for free?
Yes, for files: Buzz is a free, open-source Whisper app that transcribes audio offline on Windows (and Mac and Linux). For live meeting recording and transcription on Windows, Notta's Privacy Mode is the main option, and it requires a paid plan. MacWhisper, the free local option, is Mac-only.
Do AI voice recorders like Plaud transcribe on the device?
No. Devices like the Plaud Note Pro and Notta Memo can record while offline, but transcription and AI features happen after the device syncs to the cloud. They are convenient for capture, but not for meetings whose audio must never leave your computer.
Can a local transcription app summarise a meeting?
Only if it can run a local language model. MacWhisper can switch to local models for summaries, at the cost of some quality and hardware requirements. Notta's cloud AI summaries are paused in Privacy Mode, so the reliable route is to write the summary yourself from a checked transcript — which is also what most consulting deliverables call for anyway.
