# The best English transcription software in 2026

By [David Wilson](https://testbenchlab.com/authors/david-wilson/). Updated 2026-11-02. US prices checked 2026-10-29.

If you have English audio or video to turn into text — interviews, lectures, podcasts, meetings, legal or research recordings — Notta is the transcription software we would start with. Notta Pro costs $8.17 a month billed yearly ($97.99 a year) and includes 1,800 AI transcription minutes a month, recordings up to five hours long, 100 uploads a month and YouTube link imports, with support for 58 languages and a claimed accuracy of up to 98.86%. It is the most AI minutes per dollar of any paid plan in this guide, and it covers the three things most people actually need: long files, batch uploads and trustworthy exports in TXT, DOCX, PDF and SRT. When a transcript must be certified right — a quote for publication, a court record, a published caption — Rev adds human transcription at $1.99 a minute with a 99%+ accuracy claim to the same account. Otter.ai has the most generous free plan (300 minutes a month), Descript lets you edit the audio or video by editing the transcript, Sonix charges a flat $10 an hour with no subscription, HappyScribe specialises in subtitles and human proofreading, and MacWhisper keeps every byte of audio on your own Mac.

**How we assessed:** Prices and plan limits were verified on vendor pricing pages on 29 October 2026. Accuracy figures come from three distinct sources, and we keep them separate: the Artificial Analysis Speech to Text leaderboard (AA-WER v2, read 29 October 2026) measures speech engines through APIs, not consumer apps; vendor accuracy claims are labelled as claims throughout; and the AI voice recorder word error rates cited in this article come from an August 2026 test dataset — single sessions recorded in Shenzhen meeting rooms — along with manual ratings of Notta's upload and batch features. The two datasets are not directly comparable: different audio, different methods. Full details are on our methodology page.

## 1. Best overall: Notta

Notta gives you the most English AI transcription for the money of any pick here: 1,800 minutes a month on Pro for $8.17 a month billed yearly, which works out to roughly $4.54 per 1,000 minutes. Files can run up to five hours each, you can upload 100 files a month in batches, and you can import YouTube videos from a link instead of downloading them first. Notta transcribes in 58 languages, claims accuracy of up to 98.86%, exports to TXT, DOCX, PDF and SRT, and offers a paid desktop Privacy Mode that transcribes locally when you need audio to stay off the cloud. Manual ratings score upload transcription and batch upload 5/5.

**Price:** Pro: $8.17/mo billed yearly ($97.99/yr); Free plan 120 min/mo

**Choose it if:** You transcribe English regularly and want the highest monthly allowance per dollar, long-file and batch support, and YouTube link imports without paying meeting-bot prices.

## 2. Best for human-checked transcripts: Rev

Rev is the only pick that puts AI and human transcription in one account. Its Essentials plan includes 5,000 AI minutes per seat, and any file can be sent for human transcription at $1.99 a minute with a 99%+ accuracy claim and turnaround of 12 hours or less, with legal formats such as rough draft ($2.25/page) and premium ($2.50/page, 99.7%+) available. On measured accuracy, Rev's AI engine scores 5.9% word error rate on Artificial Analysis's AA-WER benchmark — mid-table among speech engines, but the human option is the reason to choose it.

**Price:** Essentials: $25.49/seat/mo billed yearly ($305.90/yr) or $29.99 monthly; Free plan 45 AI min/mo; human transcription $1.99/min

**Choose it if:** A quote, court record or published caption has to be right, or you need legal transcript formats alongside AI minutes.

## 3. Best free plan for live English recording: Otter.ai

Otter's free plan includes 300 AI minutes a month, the most of any free plan in this guide, and it is the strongest free option for recording live English meetings. The limits bite quickly, though: free conversations cap at 30 minutes, imports are limited to three for life, and Pro still caps conversations at 90 minutes and 10 imports a month. Otter transcribes 6 languages and exports to MP3 and TXT, with PDF, DOCX and SRT on paid plans.

**Price:** Basic (free); Pro: Basic $0; Pro $8.33/mo billed yearly or $16.99 monthly, 1,200 min/mo

**Choose it if:** You mostly record live meetings in English and want a genuinely usable free tier before paying.

## 4. Best for editing audio and video: Descript

Descript treats the transcript as the editing interface: delete a sentence in the text and the audio or video is cut to match. It transcribes in 25 languages and is priced on media hours rather than transcript minutes, which suits anyone producing edited English audio or video rather than just text. The free plan includes one media hour a month.

**Price:** Hobbyist: $16/person/mo billed yearly or $24 monthly, 10 media hours/mo; Free plan 1 h/mo

**Choose it if:** You edit the recording itself — podcasts, video, voiceovers — and want transcription and editing in one place.

## 5. Best pay-as-you-go: Sonix

Sonix charges a flat $10 an hour with no subscription, and extra hours cost the same $10 on every plan, so occasional users pay only for what they transcribe. It supports 54+ languages and exports to DOCX, PDF, TXT, SRT and VTT. There is no permanent free plan — just a 30-minute trial — and its claimed accuracy is up to 99%.

**Price:** Pay as you go: $10/h, no subscription; Core $25/mo or $275/yr, 5 h/mo; 30 free minutes

**Choose it if:** You transcribe a few hours a month or less and do not want another recurring subscription.

## 6. Best for subtitles and human proofreading: HappyScribe

HappyScribe covers 150+ languages for AI transcription, exports subtitle formats including SRT, and offers human proofreading from $2.00 a minute with a 99% accuracy claim for human services — a middle route between raw AI and full human transcription. The Basic plan's 120 monthly minutes is the smallest allowance among the paid picks here, so it is best value when subtitles or the human proofreading option are the point.

**Price:** Basic: $8.50/mo billed yearly or $17 monthly, 120 min/mo; Free 10-min trial; human proofreading from $2.00/min

**Choose it if:** You need subtitle files, work across many languages, or want a human to check an AI transcript without paying for full human transcription.

## 7. Best private (on-device) option: MacWhisper

MacWhisper runs Whisper and Parakeet models entirely on your Mac — the developer states no data leaves your machine — and the Pro licence is a one-time payment that adds diarization, batch transcription, system-audio recording and more models. It is Mac-only (macOS 14+ as of v15.2), and it is the only pick here with no cloud dependency at all. See our full offline software roundup for the complete field.

**Price:** Free; Pro (one-time licence): Free; Pro €65 one-time (checkout showed $72.33)

**Choose it if:** Your English audio must never be uploaded — confidential interviews, legal or medical recordings — and you use a Mac.

## Also considered

- Trint: A newsroom-grade workflow with 50+ languages and "unlimited" fair-use transcription, but at $79 per seat a month billed yearly ($948 a year) it is the most expensive option here by a wide margin.
- GoTranscript: PCMag's Editors' Choice for human transcription, with a 99.4% accuracy claim on its pricing page. We left it out of the main picks because its pricing page showed placeholders when we checked on 29 October 2026, so we could not verify current per-minute rates.
- Microsoft Word Transcribe: Convenient if you already live in Microsoft 365, but its upload limits and feature set trail dedicated transcription tools.
- AI voice recorders: Hardware such as the Plaud Note Pro and Notta Memo Pro capture and transcribe in-person speech in one device. See our AI voice recorder category and our best AI voice recorders guide.

## How we chose

We checked every plan limit and price on the vendor's own pricing page on 29 October 2026, and we separated three kinds of evidence throughout. First, measured speech-engine accuracy: the Artificial Analysis Speech to Text leaderboard (AA-WER v2, read 29 October 2026) benchmarks the underlying engines through APIs — not the consumer apps — on about eight hours of audio mixing agent conversations, European Parliament speech and earnings calls. Second, vendor accuracy claims, which we always label as claims: Notta says up to 98.86%, Sonix up to 99%, Descript up to 95% with clear audio, HappyScribe 90% for real business meetings, and Rev 99%+ for human transcripts. Third, the August 2026 AI voice recorder trials and the manual ratings, which score Notta's upload transcription and batch upload 5/5 — treat those figures as reported results rather than independent measurements. We ranked the picks on price per 1,000 English AI minutes on each entry plan, per-file and upload limits, export formats, language coverage and the availability of a human-check route.

## How do the picks compare?

| Tool | Award | Entry paid plan | Monthly allowance | Per-file cap | Free plan |

## How accurate is AI transcription in English now?

The best speech engines currently score roughly 2-6% word error rate on Artificial Analysis's AA-WER benchmark: ElevenLabs Scribe v2 leads at 2.2%, followed by AssemblyAI Universal-3.5 Pro at 3.0%, OpenAI GPT-4o Transcribe at 4.0%, Whisper Large v3 at 4.1-10.1% depending on the host, Deepgram Nova-3 at 5.2% and Rev AI at 5.9%. Two caveats matter. First, these scores measure the underlying speech engines through APIs — not the consumer apps in this guide — on about eight hours of audio that is half agent conversations, a quarter European Parliament speech and a quarter earnings calls. Second, almost no app tells you which engine it uses, and the same Whisper Large v3 model scores anywhere from 4.1% to 10.1% depending on who hosts it. That spread is the strongest argument for judging transcription software by the app's plan limits, price and workflow rather than by a single accuracy number — and for spot-checking any transcript before you rely on it. The Open ASR Leaderboard paper (arXiv, v4, March 2026) reaches a similar conclusion from the research side: reproducible, transparent evaluation of 86 systems is possible, but commercial apps rarely disclose enough to be included.

## When is a human transcript worth paying for?

Pay for human review when the words themselves carry the risk: a quote you will publish, a court or deposition record, a medical or legal file, or a caption that must be right. Human transcription costs about $2 a minute — Rev charges $1.99 a minute with a 99%+ accuracy claim and turnaround of 12 hours or less, and HappyScribe offers human proofreading of an AI transcript from $2.00 a minute. For everything else — meeting notes, interview drafts, lecture summaries, searchable archives — modern AI transcription is accurate enough that paying $2 a minute is rarely worth it. That is the economics behind our overall pick: Notta Pro's 1,800 monthly AI minutes cost $8.17 a month, which is less than five minutes of human transcription. A sensible middle route is Notta or another AI tool for the first pass, then human proofreading only for the passages that will be quoted or filed.

## Which plan gives the most English minutes for the money?

On entry paid plans, the price per 1,000 English AI minutes works out to roughly $4.54 for Notta Pro (1,800 minutes at $8.17 a month), about $5.10 for Rev Essentials (5,000 minutes per seat at $25.49 a month), about $6.94 for Otter Pro (1,200 minutes at $8.33 a month), $16.67 for Sonix pay-as-you-go ($10 an hour) and around $70 for HappyScribe Basic (120 minutes at $8.50 a month). Descript is priced on media hours instead. The raw per-minute numbers only tell part of the story: Rev's allowance is per seat on a plan aimed at teams, Otter caps individual conversations at 90 minutes even on Pro, and HappyScribe's Basic plan is really a route to its subtitle and human-proofreading services. Notta's combination of a low entry price, 1,800 monthly minutes, five-hour files, 100 uploads a month and YouTube link imports is why it is our overall pick for high-volume English transcription. On free plans, Otter leads with 300 minutes a month (but caps conversations at 30 minutes and allows only three imports for life), Notta gives 120 minutes a month with a 3-minute cap per conversation, Descript offers one media hour, Rev gives 45 AI minutes, and MacWhisper is free outright on your own Mac. Our free transcription apps guide for students compares the free tiers in depth.

## Which transcription software keeps audio off the cloud?

MacWhisper is the purest answer: it runs Whisper and Parakeet models entirely on your Mac, and the developer states that no data leaves your machine. The free version covers basic transcription; the €65 Pro licence adds diarization, batch processing and system-audio recording. It is Mac-only, so Windows users should see our full offline transcription software roundup for the wider field, and our offline transcription apps guide covers mobile. Among cloud tools, Notta offers a paid desktop Privacy Mode that transcribes locally — useful when you want one tool for both everyday cloud transcription and the occasional confidential file. Sonix and Rev's AI transcription are cloud-only, and Otter records offline but transcribes only after reconnecting.

## What about meetings and phone calls?

This guide ranks transcription tools for audio and video files, but two of the picks also handle live meetings: Otter.ai built its reputation on live meeting notes, and Notta records and transcribes meetings across platforms while carrying the same 58-language transcription and export pipeline you would use for uploaded files. For in-person speech, AI voice recorders capture and transcribe in one device. In August 2026 English transcription tests, the Plaud Note Pro scored a 9.2% word error rate in a two-person interview, the Plaud NotePin S 9.6%, the Notta Memo Pro 10.4% and the Anker AI Recorder 12.3%; in an eight-person team meeting every device scored between 41% and 56%. These results come from single sessions recorded in Shenzhen meeting rooms, and they are not comparable to the AA-WER engine benchmarks above, which use different audio and methods. The practical lesson holds either way: two-speaker audio is a solved problem, crowded rooms are not. See our Plaud Note Pro review and our best AI voice recorders guide for more.

## Which transcription software accepts YouTube links and video files?

If your source is already online, Notta imports YouTube videos directly from a link — no download step — and handles 100 uploaded files a month on Pro, up to five hours each. Sonix, HappyScribe, Rev and Descript all accept uploaded video files in common formats; Otter's import limits (three for life on the free plan, 10 a month on Pro) make it the weakest pick for file-based work. For the full walkthrough of transcribing and summarising a YouTube video from a link, see our dedicated guide.

## How should you check a transcript before you use it?

Whoever wins on price, every AI transcript needs a human pass before it matters. The highest-risk errors are consistent, not random: names, numbers, dates, technical terms and anything said over crosstalk. Spot-check those against the audio — play the first mention of each proper noun and each figure, and fix the rest with find and replace. If two speakers overlap, expect the transcript to drop or merge words; our guide to why transcription struggles with overlapping speech explains the mechanics. For quotes that will be published, verify against the audio recording itself, not the transcript — the approach journalists should follow is covered in our guide to verifying quotes in AI transcripts. Notta's TXT, DOCX, PDF and SRT exports make the correction pass straightforward because the corrected file stays in the format you need.

## Frequently asked questions

### What is the most accurate transcription software for English?

At the speech-engine level, the best systems score roughly 2-6% word error rate on Artificial Analysis's AA-WER benchmark, with ElevenLabs Scribe v2 at 2.2% and Rev AI at 5.9%. But those benchmarks test engines through APIs, not consumer apps, and most apps do not disclose which engine they use. Among the apps themselves, Rev's human transcripts claim 99%+ accuracy, Notta claims up to 98.86% and Sonix up to 99% — all vendor claims rather than independent measurements. For guaranteed accuracy on quotes or legal records, human transcription at about $2 a minute remains the safest route.

### Is there free transcription software that is any good?

Yes. Otter's free plan gives 300 AI minutes a month (with a 30-minute cap per conversation), Notta's free plan gives 120 minutes a month with a 3-minute cap per conversation, Descript gives one media hour, and MacWhisper is entirely free on your Mac with no upload limits because it runs on your own machine. The trade-offs are per-file caps and limited imports. Our free transcription apps guide for students compares the free tiers in detail.

### Is Notta good for English transcription?

Yes — it is our overall pick. Notta Pro gives you 1,800 AI minutes a month for $8.17 a month billed yearly, the most minutes per dollar of any paid plan in this guide, with files up to five hours, 100 uploads a month and YouTube link imports. Notta claims accuracy of up to 98.86%, transcribes in 58 languages, exports to TXT, DOCX, PDF and SRT, and offers a paid desktop Privacy Mode for local transcription. There is also a free plan with 120 minutes a month if you want to try it first.

### Can AI transcription replace a human transcriptionist?

For meeting notes, interview drafts, lectures and searchable archives, yes — modern AI transcription is accurate enough and dramatically cheaper. Notta Pro's 1,800 monthly minutes cost less than five minutes of Rev's human service. For published quotes, court records and anything with legal or medical consequences, human review at about $2 a minute is still worth paying for, either as full human transcription (Rev) or human proofreading of an AI transcript (HappyScribe, from $2.00 a minute).

### Does transcription software work offline?

Some of it. MacWhisper transcribes entirely on your Mac — nothing is uploaded — and Notta offers a paid desktop Privacy Mode for local transcription. Otter can record offline but transcribes only after reconnecting, while Sonix, Rev, Descript and HappyScribe are cloud-only. See our offline transcription apps and offline transcription software guides for the full field.

### How much does transcription cost per minute?

AI transcription on paid plans ranges from roughly $0.005 per minute (Notta Pro, 1,800 minutes at $8.17 a month) to about $0.17 per minute (Sonix, $10 an hour), with Rev Essentials at about $0.005 per minute per seat on a team plan and HappyScribe Basic at about $0.07 per minute. Human transcription costs about $2 a minute: Rev charges $1.99 and HappyScribe's human proofreading starts at $2.00. Free plans typically give 45-300 AI minutes a month with per-file caps.
