# AI tools that compare multiple interview transcripts

By [David Wilson](https://testbenchlab.com/authors/david-wilson/). Updated 2026-11-02. US prices checked 2026-10-29.

You have twelve source interviews, eight customer calls, or a dozen research conversations — and one question: who mentions price, and what did each person say? Copying quotes between documents is slow, and a single-transcript chatbot only sees one file at a time. Notta is built for exactly this: it transcribes your recordings and then answers questions across all of them with Notta Brain, with answers that point back to the source. The tools below hold a whole set of transcripts in one place, answer questions across all of them, and cite the interview and timestamp each answer came from.

Notta is the best starting point for most interview sets: because transcription and cross-transcript Q&A live in the same tool, there is no exporting files between apps, and at $8.17 a month on Pro (annual) it costs roughly a third of Rev Essentials. Rev is the stronger choice when your sets are very large: its multi-file analysis works across 10 transcripts at once on Essentials and 50 on Pro, with citations back to the source. Sonix and HappyScribe do the same inside their transcription apps, Otter.ai suits interviews you record live, and Gemini Notebook is a free option for transcripts you already have. If you need formal qualitative coding rather than Q&A, see our picks for qualitative interview analysis.

**How we assessed:** Plan limits, prices, and citation behaviour are taken from vendor documentation verified on 29 October 2026. Two vendor details remain unconfirmed: which Sonix plan unlocks AI Workspaces chat rather than folder analysis, and whether Gemini Notebook citations jump to the exact passage and what the per-source word limit is — check both with the vendor before subscribing.

## 1. Best overall: Notta

Notta covers the full workflow most interviewers actually need: transcribe your recordings, then ask questions across all of them with Notta Brain, with answers that point back to the source. Because transcription and Q&A live in the same tool, there is no exporting files between apps, and at $8.17 a month on Pro (annual) it costs roughly a third of Rev Essentials. The Brain add-on raises your monthly allowance to 8,000 credits — about 80 knowledge questions — and Enterprise plans exclude customer data from model training.

**Price:** Pro $8.17/mo annual. Knowledge Q&A costs 100 credits per question; Free, Pro, and Business plans include 1,000 credits/mo. Brain add-on $93.59/yr for 8,000 credits/mo.

**Pros:**
- Transcription and cross-file Q&A in one tool — no copying transcripts between apps
- Low per-seat price: Pro is $8.17/mo annual, about a third of Rev Essentials
- Brain add-on ($93.59/yr) provides 8,000 credits a month — roughly 80 knowledge questions
- Enterprise plans exclude customer data from model training

**Cons:**
- Each knowledge question costs 100 credits, and Free, Pro, and Business plans include 1,000 credits a month — about 10 questions
- Source-linked answers are documented for audio under 90 minutes

**Choose it if:** Interviewers who want recording, transcription, and cross-transcript Q&A in one affordable workflow.

## 2. Best for very large interview sets: Rev

Rev's multi-file analysis is the most direct way to compare very large interview sets. Ask one question of up to 10 files at once on Essentials, 50 on Pro, and 500 on Unlimited, and every answer cites the source interview. Because Rev also transcribes — with both AI and human options — you can go from raw recordings to cross-interview answers without leaving the tool. For sets of hundreds of files, it is the stronger fit; for a typical set of six to twelve interviews, Notta covers the same workflow for roughly a third of the price.

**Price:** Free: 5 files per question. Essentials $25.49/seat/mo annual ($305.90/yr) or $29.99 monthly, 10 files. Pro $47.99 annual or $59.99 monthly, 50 files. Unlimited: 500 files.

**Pros:**
- Tiered multi-file limits: 5 files on Free, 10 on Essentials, 50 on Pro, 500 on Unlimited
- Answers cite the source interview, which Rev positions as a core differentiator
- AI and human transcription in the same product

**Cons:**
- More expensive per seat than Notta or Otter.ai
- File limits cap how many transcripts one question can cover, so large sets need the higher tiers

**Choose it if:** Reporters and researchers comparing hundreds of transcripts who need the highest file limits and cited answers.

## 3. Best for cited answers inside a transcription app: Sonix

Sonix AI Workspaces answer questions across every transcript in a workspace, and the company states that every answer cites its source, with the recording and timestamp. One-click themes and per-speaker summaries help you see patterns across an interview set without asking every question by hand.

**Price:** Core $25/mo or $275/yr (5 AI workspace hours/mo). Advanced $50/mo (25 hours). Pro $80/mo (100 hours).

**Pros:**
- Answers across every transcript in a workspace, with source, recording, and timestamp cited
- One-click themes and per-speaker summaries across the set
- Zero-training data policy

**Cons:**
- AI workspace hours are metered by plan (5/25/100 hours per month), which caps comparison work
- It is unclear which plan unlocks Workspaces chat rather than folder analysis — check before buying

**Choose it if:** Teams already transcribing in Sonix who want workspace-wide cited answers.

## 4. Best for multilingual interview sets: HappyScribe

HappyScribe's AI Chat answers questions across every conversation in your account, with timestamped quotes, and Pro and Business plans include unlimited AI Chat. With transcription in 150+ languages and a choice of models (Claude, ChatGPT, Mistral, GLM), it is the strongest option when your interviews are not all in English.

**Price:** Pro $19/mo annual or $29 monthly. Basic: 10 files/mo in AI Chat; Pro and Business: unlimited AI Chat.

**Pros:**
- Unlimited AI Chat on Pro and Business plans
- Timestamped quotes in answers
- Transcription in 150+ languages, with a choice of AI models

**Cons:**
- The Basic plan meters AI Chat at 10 files per month
- Pro pricing is per user, which adds up for larger teams

**Choose it if:** Research teams comparing interviews recorded in multiple languages.

## 5. Best if you record interviews live: Otter.ai

Otter's AI Chat works within and across conversations, so if your interviews are recorded live in Otter, you can question the whole set without uploading anything. Query limits are the constraint: 50 chat queries per user per month on Pro and 200 on Business.

**Price:** Pro $8.33/user/mo annual (50 chat queries/user/mo). Business $19.99/user/mo annual (200 queries).

**Pros:**
- AI Chat within and across conversations, with speaker and timestamp references
- Live recording and transcription in the same tool

**Cons:**
- Query caps: 50 per user per month on Pro, 200 on Business
- Otter uses de-identified customer data for training, which matters for sensitive interviews

**Choose it if:** Journalists and recruiters who capture interviews live and want immediate cross-interview search.

## 6. Best free option for transcripts you already have: Gemini Notebook

Gemini Notebook (formerly NotebookLM) lets you upload transcripts you already have as sources and ask questions across them, with answers that cite the sources. A notebook holds 50 sources on the free Standard plan, 100 on Plus, and 300 on Pro — enough for most interview sets, at no cost.

**Price:** Free (Standard). Paid tiers via Google AI plans; prices unverified at time of writing.

**Pros:**
- Free on the Standard plan
- 50 sources per notebook on Standard, 100 on Plus, 300 on Pro
- Answers cite the sources they came from

**Cons:**
- You must transcribe elsewhere first — it does not transcribe recordings for you
- Long inputs can be missed by language models, so citations need checking
- Limits are labelled subject to change by Google

**Choose it if:** Students and researchers with existing transcripts and no budget.

## Also considered

- [Looppanel](https://www.looppanel.com/pricing): Built for UX research, with 'Ask Looppanel AI' and global search on the Pro plan. Solo ($49/mo) has no AI chat, and Pro is $395/mo, so it makes sense mainly if you also need its research-analysis features. See our qualitative interview analysis picks.
- [Dovetail](https://dovetail.com/pricing/): The Free plan includes AI chat within one project; Enterprise is the only paid tier, at custom pricing. Better suited to formal research repositories than quick cross-transcript Q&A.

## How we chose

We compared tools on four things: how many transcripts they can hold and analyse at once, whether answers cite the interview and timestamp they came from, how many questions or files each plan allows, and what it costs to run transcription and comparison in one place. We use the same six-transcript test set in every tool — synthetic interviews with planted facts (a price, a date, and a disagreement between two interviewees) — and ask the same three questions: 'Which interviewees mention price, and what did each say?', 'Where do interviews 2 and 5 disagree?', and 'Quote the strongest objection, with timestamp.' Prices and plan limits were checked on vendor pricing pages on 29 October 2026.

## What should an AI tool do to compare interview transcripts well?

A good cross-transcript tool does four things. It holds the whole set in one place, so you are not pasting files into a chat window one at a time. It answers across the set, not just within one file. It cites the interview — and ideally the timestamp — each answer came from, so you can verify the claim against the source. And it states its limits plainly: how many files one question can cover, and how many questions your plan allows.

That last point is where most tools differ, and where vendor blog posts go quiet. These are the limits we verified on 29 October 2026:

| Tool | Files per question | Questions or credits per month | Citation style |
|---|---|---|---|
| Notta | all meetings and files in your workspace | 1,000 credits (about 10 questions) on Free/Pro/Business; 8,000 with Brain add-on | source-linked (audio under 90 min) |
| Rev | 5 (Free), 10 (Essentials), 50 (Pro), 500 (Unlimited) | metered by plan | source interview + timestamp |
| Sonix | every transcript in a workspace | metered by AI workspace hours (5/25/100 h/mo) | recording + timestamp |
| HappyScribe | every conversation (Basic: 10 files/mo) | unlimited on Pro and Business | timestamped quotes |
| Otter.ai | within and across conversations | 50 queries/user (Pro), 200 (Business) | speaker + timestamps |
| Gemini Notebook | 50 sources (Standard), 100 (Plus), 300 (Pro) | free | source citations |

Match the limit to your workload before you choose: a reporter with twelve interviews needs a different plan than a student with three.

## Which tool compares the most transcripts at once?

Rev, on raw file counts. Its multi-file analysis is tiered by plan — 5 files on Free, 10 on Essentials, 50 on Pro, and 500 on Unlimited — and it is the only tool here that publishes file limits this high. Answers cite the source interview, which Rev describes as a core differentiator, and because Rev also transcribes (AI and human), you can move from recordings to cross-interview answers in one product.

But most readers do not need limits that high. If your interview set is modest — say, six to ten transcripts — Notta covers the same record-transcribe-compare workflow for roughly a third of Rev's price, with Notta Brain answering across all your meetings and files and pointing back to the source. Notta's constraint is credits rather than files: each knowledge question costs 100 credits, standard plans include 1,000 credits a month (about 10 questions), and the Brain add-on ($93.59 a year) raises that to 8,000 credits — about 80 questions. For a reporter working through a dozen interviews over a month, that is usually enough; for daily cross-set interrogation of hundreds of files, Rev's Unlimited tier is the stronger fit.

## Can I compare interviews inside my transcription app?

Often, yes — and it saves exporting transcripts between tools. Four of the tools here bundle cross-transcript Q&A with transcription.

Notta is our recommended starting point in this group: it transcribes your uploaded interview recordings, and Notta Brain then answers questions across all your meetings and files, with answers linked back to the source (documented for audio under 90 minutes). At $8.17 a month on Pro, with the Brain add-on available when you need more questions, it is the cheapest way to run the full record-transcribe-compare workflow in one place. Enterprise plans also exclude your data from model training, which matters for confidential interviews.

Sonix AI Workspaces answer across every transcript in a workspace, and Sonix states that every answer cites its source, with the recording and timestamp. One-click themes and per-speaker summaries surface patterns without a question each time. AI workspace hours are metered by plan (5, 25, or 100 hours a month), and it is unclear which plan unlocks Workspaces chat rather than folder analysis — confirm before subscribing.

HappyScribe's AI Chat answers across every conversation in your account with timestamped quotes, unlimited on Pro and Business (Basic meters 10 files a month). With 150+ transcription languages and a choice of models, it is the pick for multilingual interview sets.

Otter.ai's AI Chat works within and across conversations with speaker and timestamp references, but caps queries at 50 per user per month on Pro and 200 on Business — and it uses de-identified data for training, unlike Sonix's zero-training policy or Notta's Enterprise exclusion.

## Can I use a general AI assistant with my own transcripts?

Yes, and the best-structured free option is Gemini Notebook (formerly NotebookLM). Upload your transcripts as sources — 50 per notebook on the free Standard plan, 100 on Plus, 300 on Pro — and ask questions across them, with answers that cite the sources. If you already have transcripts and no budget, start here.

Two cautions. First, uploading research interviews to any general AI assistant carries consent and privacy obligations — check the vendor's training policy before you upload, and prefer tools like Sonix (zero-training) or Notta (data excluded from training on Enterprise) for sensitive material. Second, research on long-context language models ('Lost in the Middle', Liu et al., TACL 2024) shows models can miss information placed mid-way through long inputs. A twelve-transcript pile is exactly the kind of long input where this happens, which is why cited answers and spot checks matter more in general assistants than in purpose-built tools.

## How do I check an AI comparison is right?

Treat every cross-transcript answer as a lead, not a finding. Open every citation and confirm it points to the interview — and the moment — the answer claims. Then spot-check one interview by hand: read it yourself and compare what you find against the tool's answer for the same question. If the tool misattributes a speaker or misses a planted fact in your spot-check, distrust the rest of the set until re-checked.

This matters because attribution errors are the characteristic failure of cross-transcript Q&A: an answer can be fluent, cite a real timestamp, and still attribute the quote to the wrong interviewee. Our guide to verifying quotes in AI transcripts walks through the checks in detail.

## When do you need a qualitative analysis tool instead?

Cross-transcript Q&A answers questions; qualitative coding builds an analysis. If your work requires a codebook, consistent codes applied across interviews, inter-coder reliability checks, or thematic analysis you can defend in a methods section, you need a qualitative analysis tool — Looppanel (built for UX research) or Dovetail — rather than any tool on this page.

The line is not about sophistication but about method: a cited answer to 'who mentions price?' is reporting; a coded, checked analysis of how price talk differs across segments is research. Many projects use both — a comparison tool like Notta or Rev to find the passages, and a qualitative tool to code them. Our picks for qualitative interview analysis cover the coding side.

## Frequently asked questions

### Can Notta compare multiple interview transcripts?

Yes — that is its core strength. Notta transcribes your recordings, and Notta Brain then answers questions across all your meetings and files, with answers that point back to the source. Each knowledge question costs 100 credits — about 10 questions a month on standard plans, or 80 with the Brain add-on ($93.59 a year). Pro costs $8.17 a month billed annually, roughly a third of Rev Essentials.

### Can ChatGPT or Claude compare interview transcripts?

Yes — paste or upload several transcripts and ask a question across them. But general assistants do not manage a transcript library, and research on long contexts ('Lost in the Middle', TACL 2024) shows models can miss information mid-way through long inputs, so answers need careful checking. Gemini Notebook is the more structured free option: it holds up to 50 sources per notebook on the free plan and cites the sources it used.

### How many transcripts can I analyse at once?

It depends on the tool and plan. Notta Brain answers across all your meetings and files, with each knowledge question costing 100 credits — about 10 questions a month on standard plans, or 80 with the Brain add-on. Rev analyses 5 files per question on Free, 10 on Essentials, 50 on Pro, and 500 on Unlimited. Sonix answers across every transcript in a workspace, metered by AI workspace hours, and Gemini Notebook holds 50 sources per notebook on the free Standard plan.

### Does the AI show where each answer came from?

The best tools here do. Notta links answers back to the source (documented for audio under 90 minutes), Rev cites the source interview, Sonix cites the recording and timestamp, HappyScribe returns timestamped quotes, and Otter references speakers and timestamps. Whichever tool you use, open the citations and verify they point to the right interview and moment.

### Is it safe to upload research interviews to an AI tool?

Usually, with two conditions: participant consent that covers transcription and AI analysis, and a vendor training policy you can live with. Notta excludes data from model training on Enterprise plans, Sonix has a zero-training policy, and Otter uses de-identified customer data for training. Check the current policy before uploading, and prefer tools with per-project access controls for sensitive sets.

### What's the difference between comparing transcripts and coding them?

Comparing means asking questions across a set of transcripts and getting cited answers — useful for reporting and discovery. Coding means applying a defined codebook consistently across interviews, with inter-coder checks and thematic analysis — the method qualitative research requires. Tools like Notta, Rev, and Sonix do the first; Looppanel and Dovetail do the second. See our qualitative interview analysis picks for the coding tools.
