# The best AI tools for analysing many client meetings at once

By [David Wilson](https://testbenchlab.com/authors/david-wilson/). Updated 2026-11-02. US prices checked 2026-10-29.

If you meet the same client every week, the most useful answers live across meetings, not inside any single one: what they keep asking for, what changed since kick-off, which risks keep coming back, and what you promised. Notta Brain is our overall pick: it answered cross-meeting questions with clickable timestamps in the AI chat answer testing, lets you @-mention meetings, PDFs, Docs and Excel files in the same question, and costs a fraction of the alternatives. Most AI note takers summarise one meeting at a time, but a handful can run a question over a whole set of them. We compared those tools on what actually matters for account reviews: how many meetings each can read in one question, how you group them by client, whether answers point back to the source moment, and what it costs. tl;dv suits large meeting sets and recurring reports, with Ask tl;dv able to process over 100 meetings at once and email a digest on a schedule, but multi-meeting questions effectively require its Business plan. Granola is a bot-free option, and Sembly AI keeps each client's meetings in a separate workspace. Whatever you choose, open the meetings each answer cites before you act on it.

**How we assessed:** The AI chat answer comparison was manual testing, not independent lab testing. In manual testing of AI chat answers with citations (scored out of 5), Notta scored 4, Fathom 4, tl;dv 4, Otter 3, Fireflies 3, Read AI 3, MeetGeek 3, Fellow 3 and Granola 3; tl;dv was also rated 4 for workflow automation, supporting cross-meeting insights. One AI-chat comparison block was sparse — tl;dv hit its AI chat limit during it — so we quote it only with that caveat. Vendor claims about meeting caps and plan limits were checked against published documentation on 29 October 2026. Granola's default chat scope (reported in a search excerpt as the 40 most recent meeting summaries, with full transcripts limited to 25) could not be verified in our fetch, so treat those numbers as unconfirmed.

## Quick list

## 1. Best overall: Notta

Cross-meeting answers with citations — plus documents.

Notta's Brain feature is the most flexible way to interrogate a client relationship. You @-mention the meetings you care about — and, unlike any other tool here, PDFs, Google Docs and Excel files in the same question — then narrow the scope by project or date. In manual testing of AI chat answers with citations, Notta scored 4 out of 5, matching tl;dv and Fathom: answers came back with clickable timestamps, so you can verify every claim against the moment it came from (audio playback is available for recordings under 90 minutes). Brain surfaces recurring themes and decisions across a set of meetings, which is exactly what an account review needs, and at $8.17 a month on the annual Pro plan — plus Brain credits — it costs a fraction of rivals with no published lifetime cap on multi-meeting questions.

**Price:** Pro $8.17/mo billed $97.99/yr, plus Brain credits ($93.59/yr listed)

**Pros:**
- Answers include clickable timestamps, so every claim can be verified against the source moment
- @-mention meetings, PDFs, Docs and Excel files in a single question — useful when a client relationship lives in more than calls
- Narrow questions by project or date to keep each client's history separate
- Surfaces recurring themes and decisions across meetings
- Lowest entry price of the tools that do genuine cross-meeting analysis

**Cons:**
- No published maximum number of meetings per question
- No scheduled email digests — you ask on demand rather than receiving a recurring report the way tl;dv can
- Brain credits are billed separately from the Pro plan

## 2. Best for recurring cross-meeting reports: tl;dv

Over 100 meetings per question, delivered to your inbox.

Ask tl;dv is the scale champion: it can process over 100 selected meetings at once, and you can schedule a recurring report by email — the closest thing to an automated weekly client digest. Answers cite timestamped links and clips, and tl;dv matched Notta's 4-out-of-5 score for cited AI chat answers in the AI chat answer testing. The catch is the plan: Free and Pro include only 10 multi-meeting questions in total, and they don't renew, so in practice you need Business at €29 per seat a month on annual billing. Pricing is published in euros only, and 'Select all' picks the first 24 meetings until you click 'Load older', so very large accounts take a few clicks.

**Price:** Business €29/seat/mo annual (€39 monthly)

**Pros:**
- Over 100 meetings per question — the largest published cap we found
- Scheduled reports by email for a recurring client digest
- Timestamped links and clips in answers
- Folders for grouping a client's meetings

**Cons:**
- Free and Pro plans include only 10 multi-meeting questions in total, non-renewing
- Business plan required in practice, at €29/seat/mo annual
- Pricing published in EUR only; USD not shown

## 3. Best bot-free: Granola

Chat across a client folder with no meeting bot.

Granola takes meeting notes without a bot joining the call, which matters when clients are wary of recording participants. Its chat can run across all your notes, a specific folder, ticked meetings, or a person/company record, so a client's history stays queryable without anything appearing in the meeting itself. Two caveats: the Basic plan's chat is limited to the last 30 days of notes, and in the AI chat answer testing Granola scored 3 out of 5 for cited answers — it didn't show the specific original transcript timestamps — so verification takes more manual work. Business costs $14 per user a month.

**Price:** Business $14/user/mo

**Pros:**
- No meeting bot — nothing joins the client's call
- Chat scope can target a folder, ticked meetings, or a person/company record
- Affordable Business plan at $14/user/mo

**Cons:**
- Basic plan chat limited to the last 30 days of notes
- Answers did not show specific original transcript timestamps in the AI chat answer testing
- Default chat scope limits (reported as recent summaries rather than full transcripts) are unconfirmed

## 4. Best for per-client workspaces: Sembly AI

Every client's meetings in their own workspace.

Sembly's strength is structure: on Pro and above you get multi-meeting AI chat plus collections, and each workspace can hold up to 100 clients on the Pro plan, so an agency can keep every client's meeting history cleanly separated. Answers are traceable and timestamped, which makes verification straightforward. It lacks tl;dv's 100-meeting scale and Notta's document support, and there's no scheduled email digest, but for consultancies that live and die by client separation it's the tidiest option. Pro costs $20 per user a month on annual billing.

**Price:** Pro $20/user/mo annual ($29 monthly)

**Pros:**
- Separate workspaces and collections keep each client's meetings isolated
- Up to 100 clients per workspace on Pro
- Traceable, timestamped answers

**Cons:**
- Multi-meeting AI chat requires Pro or above
- No published maximum meetings per question
- No scheduled email digests

## Also considered

- Fireflies.ai: A saved AI Skill can run as a multi-meeting app on a schedule, but credits scale with the number of meetings, so large accounts consume credits quickly. Business $19/mo annual.
- Otter.ai: AI chat works across meetings and channels, with 200 chat queries per user per month on Business ($19.99 annual), but it's less focused on per-client grouping.
- Read AI: Ask Read spans meetings, email and messages for cross-source answers. Pro $15/mo annual.
- Fathom: Ask Fathom has gone account-wide, but pricing labels it 'Limited use' and beta, so treat it as promising rather than proven.
- Avoma: Global Ask Avoma and account-level analysis aimed at revenue teams; CI/Revenue add-ons $29/mo annual each. See our guide to searching past customer calls.
- Gong: Conversation intelligence for sales pipelines, with custom pricing. Overkill for a single client relationship — see our conversation intelligence roundup.
- Microsoft 365 Copilot / Gemini Notebook: Both can analyse batches of exported meeting transcripts, but you manage the grouping, uploads and source-checking yourself.

## How we chose

We selected tools that can run AI over a chosen set of meetings rather than one at a time, then compared them on five criteria: how you select and group meetings (folders, collections, per-client workspaces); how many meetings each tool can read in one question; whether answers cite the source moment; whether recurring reports can be scheduled; and plan cost. We drew on a competitor research matrix (checked 2 September 2026) and manual testing of AI chat answers with citations, and re-checked vendor documentation and pricing on 29 October 2026. Where a vendor does not publish a figure — such as a maximum number of meetings per question — we say so rather than estimate it.

## Which AI tool can analyse many client meetings at once?

Notta Brain and tl;dv are the two tools we'd put in front of an account director first. Notta Brain lets you @-mention a set of meetings — plus PDFs, Docs and Excel files — in one question, narrow by project or date, and get answers with clickable timestamps back to the source. tl;dv's Ask tl;dv can process over 100 selected meetings at once and send a recurring report by email, but multi-meeting questions effectively require the Business plan (€29 per seat a month, annual): Free and Pro include just 10 multi-meeting questions in total, and they don't renew. Granola chats across a folder of notes without a meeting bot, and Sembly AI keeps each client's meetings in a separate workspace.

| Tool | How you pick meetings | Max meetings per question | Recurring reports | Cites source | Plan and price |
|---|---|---|---|---|---|
| Notta | @-mention meetings, PDFs, Docs, Excel; narrow by project or date | Not published | No scheduled reports | Yes — clickable timestamps | Pro $8.17/mo billed annually, plus Brain credits |
| tl;dv | Tick meetings or a folder ('Select all' picks the first 24 until 'Load older') | Over 100 | Yes — scheduled email reports | Yes — timestamped links | Business €29/seat/mo annual |
| Granola | Chat scope: all notes, a folder, ticked meetings, or a person/company record | Scope-limited (default recent summaries; unconfirmed) | No | Not confirmed | Business $14/user/mo |
| Sembly AI | Collections and per-client workspaces | Not published | No | Yes — traceable, timestamped | Pro $20/user/mo annual |

## How do I keep each client's meetings together?

Use folders, collections or per-client workspaces so the AI only ever sees one client's history at a time. Granola supports folders, Sembly AI gives each client a separate workspace with collections inside it, tl;dv uses folders, and Otter uses channels. In Notta, you keep the separation by narrowing Brain questions to a project or date range, and by @-mentioning only the meetings that belong to that client.

Whichever tool you use, give meetings consistent titles and tags — 'Acme — weekly check-in, 12 Mar' beats 'call with John' — because cross-meeting analysis is only as good as the metadata that groups it. Pragmatic Institute's guide to AI meeting insights makes the same point: consistent metadata is what lets you spot recurring problems and changes over time rather than a jumble of similarly named calls.

## How many meetings can the AI read in one question?

tl;dv says Ask tl;dv can process over 100 meetings at once — the largest published cap we found. Granola's chat scope is limited by default, with a search excerpt suggesting it works from the 40 most recent meeting summaries rather than full transcripts, though we couldn't verify those numbers in our fetch. Tactiq caps multi-meeting queries at 10 meetings. Notta and Sembly don't publish a maximum.

Bigger isn't automatically better. Research on long contexts (Liu et al., 'Lost in the Middle', 2023) found that language models use information at the start and end of long inputs better than the middle. With 100 meetings in one question, a promise made in meeting 47 can get less attention than one made in meeting 2. For anything consequential, split your analysis: ask about the first three months, then the last three, and compare — or ask the same question of a smaller, dated subset, which is easy to do in Notta Brain by narrowing to a project or date range.

## Do the answers show where each point came from?

In the AI chat answer testing, Notta, tl;dv and Fathom showed source timestamps in their answers; Otter, Fireflies and Granola did not. That difference decides how much you trust the output. An answer that says 'the client repeatedly asked for a phased rollout' is far more useful when it links to the three meetings where they said it — and in Notta's case, you can click through to the audio for recordings under 90 minutes and hear the exact words.

Our advice is the same regardless of tool: open every cited moment before you act on an answer, and treat any cross-meeting claim with no source as a hypothesis, not a finding. AI summaries of many meetings compress a lot of conversation, and the compression is where errors creep in.

## Can I get a recurring client digest automatically?

Yes, if you use tl;dv: its scheduled AI Reports can email a digest of a client folder on a recurring basis, which is the most automated option here. Fireflies can run a saved AI Skill as a multi-meeting app on a schedule, though credits scale with the number of meetings, and Read AI offers briefings across meetings, email and messages.

Notta, Granola and Sembly work on demand instead: you ask Brain for the recurring themes and decisions across a client's meetings when you need them, rather than receiving them on a schedule. If a weekly email digest is the deciding factor, tl;dv is your tool; if you'd rather ask pointed questions at review time and verify the cited moments, Notta's approach fits better.

## What does cross-meeting analysis cost?

Prices below are the cheapest plans that support genuine cross-meeting analysis, checked 29 October 2026 on annual billing.

| Tool | Cheapest plan | Price | Watch out for |
|---|---|---|---|
| Notta | Pro + Brain credits | $8.17/mo + $93.59/yr credits | No scheduled email digests |
| tl;dv | Business | €29/seat/mo | Free and Pro: 10 multi-meeting questions in total, non-renewing; EUR-only pricing |
| Granola | Business | $14/user/mo | Basic chat limited to last 30 days of notes |
| Sembly AI | Pro | $20/user/mo | Multi-meeting chat and collections need Pro+ |
| Fireflies.ai | Business | $19/mo | Credits scale with number of meetings |
| Otter.ai | Business | $19.99/mo | 200 chat queries per user per month |

Two cost traps deserve emphasis. tl;dv's 10 multi-meeting questions on Free and Pro are a lifetime total, not a monthly allowance — use them up and the only way back is Business. And Fireflies' per-meeting credit use means a 50-meeting account analysis can burn through credits far faster than a 5-meeting one. Notta's Brain credits are the simplest of the bunch: a listed annual add-on with no per-question metering published.

## Frequently asked questions

### Can AI find patterns across all my meetings with one client?

Yes. Tools like Notta Brain and tl;dv can run a question over a selected set of a client's meetings and surface recurring requests, scope changes, risks and promises. Notta Brain also lets you include PDFs, Docs and Excel files in the same question, so patterns can span the proposal and the calls. Always open the cited meetings to confirm the pattern is real rather than a plausible-sounding compression.

### Can I ask ChatGPT or Claude about many meeting transcripts at once?

Yes — export the transcripts and paste or upload them. The trade-offs are everything around the AI: you manage the grouping, the uploads and the version control yourself, and answers won't link back to timestamps or audio the way Notta Brain and tl;dv answers do. Long inputs also risk the 'lost in the middle' effect, where detail in the middle of a large batch gets less attention.

### How many meetings can tl;dv analyse at once?

Over 100, according to tl;dv's documentation. Note that 'Select all' picks the first 24 meetings until you click 'Load older', and that Free and Pro plans include only 10 multi-meeting questions in total — they don't renew — so sustained use means the Business plan at €29 per seat a month, annual.

### Does Granola chat work across folders?

Yes. Granola's chat scope can be set to all your notes, a specific folder, ticked meetings, or a person/company record. Two limits: the Basic plan's chat only covers the last 30 days of notes, and answers in the AI chat answer testing didn't show specific original transcript timestamps, so verification is more manual.

### Is it safe to analyse client meetings with AI?

Generally, if you take the same precautions as recording: check consent and local recording laws, confirm your tool's data-handling and retention terms, and keep each client's meetings grouped so one client's history never leaks into another's analysis. Tools with per-client workspaces (Sembly) or scoped questions (Notta Brain's project and date filters) make that separation easier to enforce.
